Senior Executive / Assistant Manager, Administration (Based in Singapore)

The Role

 

This position will be responsible for supporting the administrative services in the planning, organising, and implementing various administrative functions and initiatives in the Corporate Real Estate (CRE) function.

Job Responsibilities

 

  • Coordinate and manage all aspects of CRE activities, including facilities management, lease management, workplace safety and security 
  • Support CRE-related administrative activities such as granting physical access to the Singapore offices, creating access pass, creating new access groups, overseeing maintenance of the physical security systems, assisting in extracting physical security reports, performing annual validation checks and reviewing security video footages
  • Conduct inspection of facilities within corporate offices, and liaise with technical team to rectify any faults.
  • Ensure smooth operation and maintenance of the audio visual (AV) system, whilst keeping an up-to-date inventory for auditing purposes.
  • Assist the department the various activities related to Business Continuity Plan (BCP) and fire safety programmes  
  • Participate in planning, execution and completion of outfitting projects for both local and overseas offices, ensuring adherence to budget, schedule, and quality standards.
  • Support in space planning drafting using AutoCAD.
  • Attend to complaints/feedback promptly.
  • Raise work orders and track the status of the work orders to ensure timely completion.
  • Prepare requirement specifications for procurement-related contracts (General, CRE and ad-hoc A&A work).
  • Assist in the asset management under the care of the department including periodic asset verifications.
  • Assist in ad hoc projects from time to time, including rendering assistance to the department’s other sections (Procurement & Services, and Office Administration) as and when required

Job Requirements

 

  • Degree in Administration, Building or Facilities related disciplines.
  • Minimum 5 years of managerial experience in administration, office management or facilities management.
  • Knowledge in building and M&E systems.
  • Candidate who are proficient in AutoCAD will be an advantage.
  • Experienced in leading teams and possess excellent planning and organisational skills.
  • Possess good interpersonal skills and communication.
  • Able to adapt to frequent shifting priorities in a fast-paced environment.
