The Role
The Assistant Manager, Property Management will support the management of a portfolio of logistics properties, ensuring that building operations, maintenance, tenant support, statutory compliance, vendor performance, budgeting and reporting are carried out effectively. The role will assist in driving operational efficiency, cost discipline, service quality and asset value preservation, while supervising site technicians and providing guidance to executive / administrative support staff.
Job Responsibilities
- Support the day-to-day property management of assigned logistics assets, including building operations, maintenance planning, tenant support, service delivery and follow-up on operational issues.
- Monitor building services and facilities management standards to ensure properties are well maintained, safe, operationally efficient and managed within approved budgets.
- Maintain strong working relationships with tenants, service providers, contractors and internal stakeholders to ensure timely resolution of operational matters and good service standards.
- Coordinate tenant requests, reinstatement matters, minor asset enhancement works, upgrading works and repair / replacement works to ensure operational needs and maintainability requirements are addressed.
- Implement and monitor preventive maintenance programmes, service schedules, standard operating procedures and house rules to support smooth and compliant property operations.
- Assist in managing improvement works, asset enhancement initiatives, sustainability-related projects and building system upgrades, including coordination with consultants, contractors, tenants and internal teams.
- Supervise and guide site technicians in maintenance, inspection, troubleshooting and repair works, and promote safe work practices in line with workplace safety requirements and company standards.
- Prepare monthly operational and management reports, including budget utilisation, expense variance analysis, service performance, incident updates, compliance status and key property matters.
- Manage and guide the Property Management Executive / administrative support staff in tracking vendor submissions, service reports, statutory records, purchase requisitions, invoice processing, insurance documents, licences and other operational documentation.
- Provide prioritisation, coaching and follow-up to executive support staff to ensure documentation accuracy, timely closure of action items, audit readiness and compliance with internal procedures.
- Assist in annual budgeting, procurement of property management services, contract administration, cost control initiatives and preparation of approval papers where required.
Job Requirements
- Degree in Building / Real Estate / Facilities Management or a related Engineering discipline.
- At least 5 years of relevant experiences and knowledge of all phases of property management, as well as procurement of property management services.
- Possess sound knowledge of building M&E systems, with experiences in monitoring Building Management Systems (BMS) and Building Automation Systems (BAS).
- Proficient in MS Office Applications (Word, PowerPoint and Excel). Experience working with SAP will be an added advantage.
- Certification as a Fire Safety and/or Green Mark Facility Manager will be an added advantage.
- Excellent team player with strong communication skills and good computer literacy.
- Ability to be ready 24/7 and to manage operations and projects simultaneously in a fast-paced environment.
